Booking Terms & Conditions

Applies to surf, yoga and wellness stays, retreats and packages. Effective 8 October 2026.

The short version. We want your time with us to be easy and relaxed, and these terms are here so everyone knows where they stand. Please read them before you book. By paying a deposit you confirm that you, and everyone in your group, have read and accepted them. Flights and travel to Sri Lanka are not part of your booking with us, and we strongly recommend comprehensive travel insurance from the moment you book.

1. Who we are

In these terms, “Lotus”, “we”, “us” and “our” mean Stepthroughthedoor (Private) Limited, trading as Lotus Surf & Wellness, a private limited company incorporated in Sri Lanka under the Companies Act No. 7 of 2007 (company number PV 00208023), with its registered address at 33 Visuddarama Road, Aranwala, Ahangama 80650, Sri Lanka. “You” and “your” mean the lead guest and every person named on the booking.

2. Making a booking

  1. The person making the booking (the lead guest) must be at least 18 and must have the agreement of everyone named on it. Guests under 18 must be booked by, and travel with, a parent or legal guardian.

  2. The lead guest is responsible for all payments. Every person on the booking shares responsibility for any amount that remains unpaid.

  3. Your booking is confirmed, and a binding agreement exists between us, once we have received your deposit and sent you a written booking confirmation.

  4. Please check your confirmation carefully as soon as it arrives. Let us know within 7 days if anything is wrong (names, dates, room type, package). We can’t accept responsibility for errors not reported in that time.

  5. We may decline a booking at our discretion.

  6. Special requests (a particular room, dietary needs, airport pick-up times) are welcome and we’ll do our best, but we can’t guarantee them and a booking can’t be made conditional on one.

3. What your price includes

  1. Prices are per person and quoted in US dollars (USD) unless stated otherwise. Prices shown before you book may change; the price on your confirmation is the one that applies.

  2. Your confirmation lists exactly what is included, which will usually be accommodation, the meals stated, and the surf, yoga or wellness sessions that make up your package.

  3. Unless your confirmation says otherwise, the following are not included: international and domestic flights; airport transfers; visas; travel insurance; spa and massage treatments beyond your package; drinks; meals not listed; board or equipment hire outside your package; excursions; tips; and any local taxes or charges added on site.

4. Paying for your stay

  1. Deposit. A non-refundable deposit of 25% of the total price (or another amount we tell you when you book) is due to secure your place.

  2. Balance. The remaining balance is due no later than 28 days before your arrival date. If you book within 28 days of arrival, the full price is payable straight away.

  3. If the balance isn’t received on time, we may treat your booking as cancelled by you. In that case the cancellation charges in the “Cancelling your booking” section apply and your deposit will not be returned.

  4. Any bank, card or currency conversion fees charged by your provider are your responsibility.

  5. Once your booking is confirmed we will not increase the price, except where a government tax or levy is introduced or increased. We will never raise the price within 20 days of your arrival. If an increase would add more than 8% to your total price, you may cancel and receive a full refund of what you have paid us.

5. Changing your booking

  1. New dates. If you ask to change dates more than 30 days before arrival, we’ll try to help. A USD 25 admin fee applies, and the price will be recalculated at the rate for your new dates. If we can’t offer dates that suit you and you decide not to travel, this is treated as a cancellation.

  2. Requests to change dates within 30 days of arrival are treated as a cancellation, and the charges below apply.

  3. Passing your place to someone else. You may transfer your place to another person if you tell us in writing at least 7 days before arrival, the new guest accepts these terms and meets any requirements of the package, and the balance plus a USD 50 per person change fee has been paid. You and the new guest remain jointly responsible for any outstanding amounts.

  4. If the number of people sharing a room changes, the room price may change too. Any promotional discount on the original booking may not carry over to a changed booking.

6. Cancelling your booking

  1. If you need to cancel, the lead guest must tell us in writing at book@lotussurfandwellness.com. Cancellation takes effect on the day we receive your message.

  2. The following charges apply per person:

  • 30 days or more before arrival: Your deposit (non-refundable). Any balance already paid is refunded.

  • Fewer than 30 days before arrival: 100% of the total price

  • No-show, late arrival or early departure: 100% of the total price; no refund for unused nights or sessions

  1. If the Government of Sri Lanka closes our area, restricts entry to the country or advises against travel to our area at the time of your stay because of war, civil unrest, serious disease outbreak or natural disaster, you may postpone without charge or cancel and receive a refund of what you have paid us. We won’t pay additional compensation.

  2. Your travel insurance may cover cancellation charges, which is one of the many reasons we ask you to take it out as soon as you book.

7. If we need to change or cancel

  1. We plan carefully, but occasionally we may need to make changes, such as swapping a teacher, moving a session or upgrading your room. Minor changes like these don’t give rise to a refund.

  2. If we need to make a significant change (for example, a different property or substantially different dates) or cancel your stay, we’ll tell you as soon as we reasonably can. You can then choose to accept the change, move to an alternative stay of similar standard (with a refund of any price difference), or cancel and receive a full refund of everything you have paid us. Please give us your answer within 7 days.

  3. Group retreats may run only with a minimum number of guests. If numbers are too low we’ll let you know at least 20 days before the start date (7 days for retreats of 6 nights or fewer) and offer the same choices as above.

  4. We are not responsible for costs of flights, visas or other travel arrangements you have made separately.

8. Events beyond our control

We are not liable for any change, cancellation, delay or failure to provide our services caused by events beyond our reasonable control. These include extreme weather, ocean conditions, natural disasters, epidemics, war, civil unrest, terrorism, government action, strikes, power or utility failures, fire, and closures of airports or roads. In these cases we will do what we reasonably can to help and offer the options above, but no compensation will be paid.

9. Surfing, yoga and your health

  1. Surfing takes place in the open ocean, which is unpredictable. Waves, currents, reefs, rocks and marine life all carry risk. Yoga, massage and other wellness practices also involve physical exertion. By booking, you accept these risks and confirm that you take part voluntarily.

  2. You must be able to swim confidently and be in reasonable health for your chosen activities. If you’re unsure, please check with your doctor before you travel.

  3. Please tell us at the time of booking (and again if anything changes) about any medical condition, injury, disability, pregnancy or allergy that could affect you. We may decline or cancel a booking we believe isn’t safe or suitable, and normal cancellation charges will apply.

  4. Always follow the instructions of our coaches and teachers. They may move, shorten or cancel a session, or ask a guest not to take part, if they believe conditions or a guest’s health make it unsafe. No refund is due when this happens.

  5. Any surfing, swimming or other activity you do outside our scheduled sessions is entirely at your own risk.

10. Travel insurance

Travel insurance is a condition of staying with us. Your policy must cover medical treatment, emergency repatriation, cancellation and curtailment, and surfing and any other activities you plan to do. Before you arrive we may ask for your insurer’s name, policy number and emergency contact number.

11. Passports, visas and vaccinations

You are responsible for having a valid passport, the correct visa or Electronic Travel Authorisation for Sri Lanka, and any vaccinations or health documents required. Please check the latest entry requirements with official sources before travelling. Any costs or losses arising from missing or incorrect documents are your responsibility.

12. Staying with us

  1. We ask every guest to respect the house, our team, fellow guests, the local community and the environment. Please dress modestly when visiting temples and villages.

  2. Illegal drugs are not permitted on our property. Their possession and use is a serious offence in Sri Lanka.

  3. You are responsible for any loss or damage to our property, equipment or boards caused by you or your group, beyond normal wear and tear, and must pay for repair or replacement.

  4. If a guest’s behaviour puts anyone at risk, causes serious disturbance or damages property, we may end that guest’s stay immediately. No refund will be given and we won’t cover onward travel or accommodation costs.

  5. Please keep valuables in your room safe where provided. We are not responsible for loss of or damage to personal belongings unless this is caused by our negligence.

13. Our responsibility to you

  1. We will provide the services in your booking with reasonable skill and care.

  2. We are not responsible for problems caused by you or anyone in your group, by third parties not connected with your booking, or by events beyond our control.

  3. Except for death or personal injury caused by our negligence, our total liability to you in connection with your booking is limited to the total price you paid us.

  4. Excursions, transfers, tours and activities that we recommend or help arrange but that are not listed in your confirmation are provided by independent operators. Your agreement for those is with the operator, not with us.

  5. Facilities, safety standards and services in Sri Lanka may differ from those in your home country. We follow local laws and standards.

14. Photos and video

We sometimes take photos and video during surf lessons, yoga classes and around the house, and may share some on our website and social channels. If you’d rather not appear, just let us know at check-in and we’ll respect that.

15. If something isn’t right

Please tell a member of our team straight away if you’re unhappy with any part of your stay, so we have the chance to put it right while you’re here. If it isn’t resolved, write to us at book@lotussurfandwellness.com within 28 days of your departure. We may not be able to help with complaints raised for the first time after you have left.

16. Your personal information

We use the personal details you give us to manage your booking and stay, and we share them only where needed with providers who help deliver it (such as transfer drivers or payment processors), or where required by law, including guest registration requirements in Sri Lanka. We don’t sell your data. You can ask to see or correct the information we hold about you at any time.

17. Gift vouchers

Gift vouchers are valid for 12 months from the date of purchase and can be used towards stays, packages and treatments, subject to availability. They cannot be exchanged for cash, are non-refundable and, once issued, the purchase cannot be cancelled. One voucher may be used per booking; any unused value stays on the voucher until it expires, and any shortfall can be paid by another method.

18. Accuracy and changes to these terms

We take care to keep our website, social media and other materials accurate, but details can change and mistakes can happen. Please confirm anything important to you when you book. We may update these terms from time to time; the version in place on the date your booking is confirmed applies to that booking.

19. Governing law

These terms and any dispute arising from them are governed by the laws of the Democratic Socialist Republic of Sri Lanka, and the courts of Sri Lanka have jurisdiction. Before going to court, we both agree to try to resolve any disagreement informally and in good faith.
